01

Who we are

QIQ is operated as a sole proprietorship by an individual based in Pringle Bay, South Africa. QIQ operates the website qiq.co.za and provides AI visibility and identity services including the AI Visibility Check, AI Visibility Report, Signal Atlas, Signal Atlas Pro, and Latent Stewardship.

For the purposes of the Protection of Personal Information Act 4 of 2013 (POPIA), QIQ is the responsible party in respect of personal information collected through this website and its services.

For clients in the European Union, QIQ acts as a data controller as defined under the General Data Protection Regulation (GDPR). Where QIQ processes personal data of EU residents, it does so in accordance with the applicable requirements of that regulation.

02

What information we collect

We collect personal information only when it is necessary for the delivery of our services or the operation of our website. The categories of information we may collect include:

  • Contact information — your name and email address, provided when you purchase a service, submit an intake form, or contact us directly.
  • Intake information — professional context, positioning intent, and related information you provide when commissioning a service. This is used solely to deliver the service you have requested.
  • Payment information — we do not store payment card details. Payments are processed by third-party payment processors and are subject to their respective privacy policies.
  • Usage data — standard website analytics including pages visited, time on site, and device/browser type. This is collected in aggregated or anonymised form where possible.
  • Communications — the content of any emails or messages you send to us.

We do not collect special categories of personal information (such as health data, political opinions, or biometric data) and we have no interest in doing so.

02b

Information relating to the subject of a Report or Signal Atlas

Certain QIQ services — specifically the AI Visibility Report, Signal Atlas, and Signal Atlas Pro — involve the collection and analysis of information about a named individual or brand (the "subject") from publicly available sources, including AI platforms and the wider web.

Where the person commissioning a service is themselves the subject, this clause applies to their own information. Where a communications professional or other party commissions a service on behalf of a third-party subject, the commissioning party warrants that they have the subject's knowledge and authority to do so. This is a condition of service — see our Terms of Use.

Information collected about the subject in the course of this work includes:

  • AI-generated descriptions and associations produced by ChatGPT, Claude, Gemini, Perplexity, Copilot, Grok, and similar platforms in response to identity-related queries
  • Publicly available web content including reviews, social media mentions, forum posts, news articles, and professional profile information relevant to the subject's public identity (Signal Atlas and Signal Atlas Pro only)

All such information is collected from publicly available sources. It is used solely to produce the service deliverable and is retained in accordance with section 6 of this policy. It is not shared with third parties beyond what is necessary to deliver the service.

Subjects of a Report or Signal Atlas engagement who wish to access, correct, or request deletion of information held about them may contact us at hello@qiq.co.za.

03

How we use your information

We use the information we collect for the following purposes:

  • To deliver the service you have purchased or requested
  • To communicate with you about your service, including delivery confirmation and follow-up
  • To respond to enquiries or support requests
  • To send transactional emails related to your purchase (receipts, delivery notifications)
  • To send post-purchase email sequences relevant to the service you have purchased — you may unsubscribe at any time
  • To improve our services based on aggregated, anonymised usage patterns
  • To comply with legal obligations

We do not use your information for automated decision-making that produces legal or similarly significant effects. We do not use your information to build advertising profiles or sell to third parties.

05

Who we share your information with

We do not sell, rent, or trade your personal information. We share your information only in the following limited circumstances:

  • Third-party payment processors — to process payments for our services. These processors operate under their own privacy policies and security standards. We do not receive or store your full payment card details.
  • AI platforms used in service delivery — when delivering the AI Visibility Report, Signal Atlas, or Signal Atlas Pro, queries are submitted to AI platforms including ChatGPT (OpenAI), Claude (Anthropic), Gemini (Google), Perplexity, and Grok. These queries contain only the information necessary to deliver the service — typically a name or professional identity. Each platform operates under its own privacy policy and terms of use.
  • Email service providers — to send transactional and service-related emails. These providers process email addresses and message content on our behalf.
  • Analytics providers — to understand how our website is used. Where possible, this is done using anonymised or aggregated data.
  • Legal requirements — where we are required by law, court order, or regulatory authority to disclose information.

Any third parties with whom we share personal information are required to handle it in accordance with applicable data protection law.

06

How long we keep your information

We retain personal information for as long as is necessary to deliver the services you have requested and to comply with our legal obligations. In practice:

  • Client intake information and service-related correspondence is retained for a period of three years from the date of service delivery, after which it is securely deleted.
  • Email communications are retained for as long as the relationship is active and for a reasonable period thereafter.
  • Anonymised or aggregated analytics data may be retained indefinitely as it cannot be used to identify individuals.

You may request deletion of your personal information at any time by contacting us at hello@qiq.co.za. We will action such requests within 30 days unless we are required by law to retain the information.

07

Your rights

Under POPIA, you have the right to:

  • Be informed about what personal information we hold about you
  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal information, subject to legal retention requirements
  • Object to the processing of your personal information
  • Lodge a complaint with the Information Regulator of South Africa

If you are an EU resident, you have the additional rights under GDPR to data portability and to withdraw consent at any time where consent is the basis for processing. You also have the right to lodge a complaint with your national data protection authority.

To exercise any of these rights, contact us at hello@qiq.co.za. We will respond within 30 days.

08

Cookies and tracking

Our website uses cookies and similar technologies to support its operation and to understand how visitors use the site. The types of cookies we use include:

  • Strictly necessary cookies — required for the website to function. These cannot be disabled.
  • Analytics cookies — used to understand how visitors interact with the site in aggregate. These do not identify individual users.
  • Preference cookies — used to remember choices you have made while browsing the site.

You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of the site. Where required by law, we will seek your consent before placing non-essential cookies.

09

International data transfers

QIQ is based in South Africa. If you access our services from outside South Africa, your personal information may be transferred to and processed in South Africa.

Where we use third-party service providers based outside South Africa — including email and payment processors — your information may be transferred to those jurisdictions. We take reasonable steps to ensure that any such transfers are subject to appropriate safeguards consistent with POPIA and, where applicable, GDPR.

For EU residents: where personal data is transferred outside the European Economic Area, we rely on appropriate transfer mechanisms including standard contractual clauses or adequacy decisions where available.

10

Children's privacy

Our services are intended for individuals aged 18 and over. We do not knowingly collect personal information from children under 18. If you believe we have inadvertently collected such information, please contact us at hello@qiq.co.za and we will delete it promptly.

11

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or applicable law. When we make material changes, we will update the "Last updated" date at the top of this page. Continued use of our website or services after any such change constitutes acceptance of the updated policy.

We encourage you to review this policy periodically. If you have concerns about any changes, contact us at hello@qiq.co.za.
